  • Student Entertainment Committee

 

    • Hospitality Coordinator
      • 6 hours of office hours weekly required.  Sit in weekly exec meetings, two committee meetings per month.  During show, take care of artists.  Get paperwork for purchases for shows.  Prepare dressing room.  Be available for artists throughout day and clean up after they leave.  Leaves educational obligations if show falls during school hours.  Has co-coordinator under the position. Usually just the hospitality coordinator and co-coordinator that does all the running and set-up.  Artists are picky about who can be in the dressing room, restricts the number of general members who can help in the position.  This year, worked with 10-15 artists since September.  Necessary to ensure that the artists have everything they need and keep the artists happy and willing to come to the university.  For consistency, request that one person to perform the duties instead of pushing the responsibilities onto the general members.  Has signatory powers.

    • Administrative Secretary
      • All paperwork that is not finance.  Take minutes for exec board meetings.  Keep track of general office hours and meeting attendance.  Document events (photographing).  Helping with all documents edits (constitution editing).  Different from committee secretaries because focuses mostly on the executive meetings.  Also organizes minutes provided by the committee secretaries.  6 office hours weekly.  Necessary to keep track of records of meetings and minutes, prevent the organization from falling into disarray.  Other executive members cannot take on the overwhelming workload of the secretary.  Needed to keep track of dates for promotional activities.

      • Go to assigned committee and take minutes and place them in dropbox.  Get minutes out to general members in timely manner.  Work closely with business manager to ensure that all financial activities have been completed (purchase orders).  Keep track of all finances for committees, shift funder, and complete purchase orders.  4 office hours weekly.  Spend time before shows settings.  Perform promo booths, flyering, walking around advertising shows.  Substantially more times spent during the week of the show.  Minor differences of responsibilities between the positions within the different committees.  Necessary due to the enormity of the budget that the position handles.  Business Manager cannot absorb responsibilities without being overwhelmed.  Bi-weekly meetings with Business Manager to ensure that accounts are balanced properly.

    • Committee Chair (within subcommittee) (Special Events, Concerts, VIP, Advertising Committee Chairs)
      • Special events does events such as lobster bake, Concerts does concerts, VIP does speakers.  In charge of everything on the day of the show.  Does problem solving, organization, advertising, promo-booths, flyering, chalking.  Liaison to Ryan Center workers.  Help hospitality coordinator if necessary.  Remain on premises to take care of any problems that arise.  Introduce act on stage.  Ensures that all executive members required are in attendance.  Help with the setup if Hospitality needs it.  6 office hours weekly.  Stays for the entirety of the show from preparation to clean-up.  Committees cannot exist without Chair.  
    • Advertising President (lumped with the above)
      • Maintains committee.  Designs posters and all the free items given out.  Advertises for the committee as a whole.  Works together with the advertising president to promote events on campus.  Focus on ideas generation and PR does the distribution of the advertisement.
