Most students leave for the year abroad in September and return twelve months later. The preparation process includes individual and group meetings and orientations to discuss a range of topics such as the application process, academics, internships, accommodation, course selection, registration with the university, culture and cultural differences, visa advising and health, safety and security abroad to offer the maximum support to our students. We will also connect you to fifth year students who just returned from their year abroad, to exchange students from our partner universities whenever possible and to other helpful resources.&nbsp;<\/p>\n<p>Follow the timeline below and also check out the Japanese IEP Study Abroad Student Guide, created by Japanese IEP Student Ambassadors to help prepare you for the year abroad.<\/p>\n<a class=\"cl-button block-level  prominent\" href=\"https:\/\/drive.google.com\/file\/d\/1BvFpshRN7ohagOFU8qDlT2nYgIb44s9L\/view?usp=drive_link\" title=\"\">JIEP Student Guide<\/a>\n<h2><b>Japanese IEP Abroad Timeline<\/b><\/h2>\n<h3><b>September &#8211; December<\/b><\/h3>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\"><strong>Attend First Informational Session:<\/strong> October, exact date <\/span><span style=\"text-decoration: underline\"><b>TBA<\/b><\/span><span style=\"font-weight: 400\"><span style=\"text-decoration: underline\">.<\/span> Please schedule a meeting with Dr. <\/span><span style=\"font-weight: 400\">Takasawa <\/span><span style=\"font-weight: 400\">to review all requirements for the year abroad and to assure you meet all requirements for the dual degree. If you do not have a passport, or if you need to renew your passport, go to your nearest post office (which for URI is in Wakefield); you MUST <a href=\"https:\/\/tools.usps.com\/rcas.htm?locationId=1386177\">schedule an appointment<\/a>.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\"><strong>Obtaining a Visa: <\/strong><\/span>While URI offers students guidance on how to apply for a visa, it is ultimately the student\u2019s responsibility to apply for and obtain the appropriate visa needed to support their studies. In early spring of the year you are planning to go abroad, Jamie Loredo, Education Abroad Advisor, <a href=\"mailto:jamie.loredo@uri.edu\">jamie.loredo@uri.edu<\/a>, will set up a group meeting to advise you on how to apply. <span style=\"font-weight: 400\">Visit the <\/span><a href=\"https:\/\/www.us.emb-japan.go.jp\/itpr_en\/travel_and_visa.html\">Japanese Consulate website<\/a><span style=\"font-weight: 400\"> or more information.&nbsp;<br \/>\n<\/span><b>Important: Non-US citizens need to check whether they are on the list of countries whose citizens need to apply for a visa on the <\/b><a href=\"https:\/\/www.us.emb-japan.go.jp\/itpr_en\/travel_and_visa.html\"><b>consulate\u2019s website<\/b><\/a><b>. <\/b><span style=\"font-weight: 400\">Please make an appointment with <\/span><span style=\"font-weight: 400\">Jamie Loredo, Education Abroad Advisor, <\/span><span style=\"font-weight: 400\"><a href=\"mailto:jamie.loredo@uri.edu\">jamie.loredo@uri.edu<\/a>, <\/span><span style=\"font-weight: 400\">if you need any additional guidance on obtaining a visa.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\"><strong>Financial Aid:<\/strong> Each year, Dr. Berka will send a list of IEP students who are planning to study abroad for the year to Enrollment Services so they know that this year is a required part of the IEP. Students receiving a merit-based scholarship will roll over this scholarship at a prorated rate for the fall semester. The merit scholarship will pause during the spring\/summer when you&#8217;ll be in your internship and not pay URI instate tuition (as you do for the fall). If you return to URI for your 5th and final year, your merit scholarship will resume. Please address any other questions with a financial aid advisor in Green Hall.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\"><strong>Meet with Advisors to Discuss Academic Plan for Fifth Year:<\/strong> Make sure to work on a graduation worksheet with your advisors, so that you know which classes you have to take for graduation. Since you will have to register for Fall courses from abroad, let us know immediately if there is a conflict between a Japanese course and courses required for engineering in your 5th year. <strong>Review your<a href=\"https:\/\/web.uri.edu\/engineering\/student-support\/program-curriculum-check-sheets\/iep-curriculum-guides\/\"> IEP program curriculum sheet.<\/a><\/strong><\/span><\/li>\n<li><strong>Research:<\/strong> If you <span style=\"font-weight: 400\">would like to earn 3 credits of MCE, CHE, ELE etc. 491 professional elective credits, speak with Prof. Takasawa about possible research opportunities.<\/span><\/li>\n<li><b>Scholarships:<\/b><span style=\"font-weight: 400\"> Start working on scholarship applications. In particular: Start working on scholarship applications for scholarship opportunities with December or January deadlines, such as the <\/span><a href=\"https:\/\/rifoundation.org\/grants-scholarships\/browse-scholarships\">Beatrice Demers Scholarship<\/a>, and the <a href=\"https:\/\/www.iie.org\/gilman\">Gilman scholarship<\/a>, <a href=\"http:\/\/www.iie.org\/programs\/freeman-asia#.V0dzz5MrJBw\">Freeman-Asia Scholarship<\/a> (due early April), the <a href=\"http:\/\/www.borenawards.org\/\">Boren Scholarships and Fellowships<\/a> and the <a href=\"https:\/\/clscholarship.org\/\">Critical Language Scholarship (CLS) Program<\/a> (due end of November). In addition, there are JIEP-specific IEP scholarships like Japan Student Services Organization (JASSO) Student Exchange Support Program. This includes your Pre-Approval Form. <\/span><span style=\"text-decoration: underline\"><b>Deadline: May 1st<\/b><\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\"><strong>Internship Documents and Placement:<\/strong> Set up an appointment with Prof. <\/span><span style=\"font-weight: 400\">Takasawa <\/span><span style=\"font-weight: 400\">to discuss companies URI has relationships with no later than the first or second week of April. With <\/span><span style=\"font-weight: 400\">Dr. Takasawa\u2019s <\/span><span style=\"font-weight: 400\">help, you will gain access to our <\/span><span style=\"font-weight: 400\">internship portal <\/span><span style=\"font-weight: 400\">where you can learn more about the different Japanese companies and view internships and projects from past Japanese IEP program participants to help you determine the company you would like to intern for. Begin preparing a Japanese resume. Don\u2019t be afraid to ask professors and\/or tutors for help.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\"><strong>Prior Approval Forms:<\/strong> Make an appointment with Dr. Takasawa to discuss course equivalencies between URI and your chosen university. Dr. Hae Ree Jun can help you get your language courses and Gen Ed outcome courses approved, but you need to get a signature from your engineering departmental chair for your desired engineering courses. Once you obtain those signatures, submit the form to <a href=\"mailto:coe-forms-group@uri.edu\" target=\"_blank\" rel=\"noopener\"><b>coe-forms-group@uri.edu<\/b><\/a> since it requires the final signature from Assistant Dean Kathleen Maher. Remember to add in a couple (2-3) more classes than desired, in case of class unavailability or changes while taking courses in Japan. Students will then need to upload the finalized Prior Approval Form to URI Abroad in the post-decision phase of URI Abroad application.&nbsp;<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\"><strong>Optional Intensive Summer Language Program:<\/strong> Consider enrolling in an intensive Summer Japanese language program. Consult Dr. Takasawa for more information. If you enroll in a Summer Program that is NOT a part of the IEP program, you must meet with OIE Education Abroad Advisor, Jamie Loredo, to discuss the transfer of credits and to register the program through URI Abroad as a non-affiliated summer program. <\/span><\/li>\n<\/ol>\n<hr>\n<h3><b>April<\/b><\/h3>\n<ol>\n<li style=\"font-weight: 400\"><strong>URI Office of International Education &#8211; Attend <\/strong><b>Pre-Departure Meeting: <span style=\"text-decoration: underline\">TBA<\/span><\/b><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\"><strong>Health Insurance:<\/strong> In addition to URI Health Insurance or other private insurance, all URI Students are covered by <\/span><a href=\"https:\/\/web.uri.edu\/riskmanagement\/international-travel-insurance\/\"><span style=\"font-weight: 400\">CISI Insurance<\/span><\/a><span style=\"font-weight: 400\">. This includes your Pre-Approval Form. <\/span><b><span style=\"text-decoration: underline\">Deadline: May 1st<\/span>.<\/b><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\"><strong>Attend Pre-departure Meeting:<\/strong> <\/span><b><span style=\"text-decoration: underline\">TBA<\/span>. <\/b><span style=\"font-weight: 400\">This meeting will serve as a final overview of the plans for the year abroad.<\/span><\/li>\n<\/ol>\n<hr>\n<h3><b>June &#8211; August<\/b><\/h3>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\"><strong>Visa:<\/strong> Apply for a visa if you have received your certificate of eligibility from the partner universities. <strong>Note:<\/strong> Some do not issue the official document until after August.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\"><strong>Travel Arrangements and Arrival:<\/strong> Students are responsible for their own travel. Many students like to make arrangements together so that you travel with some URI friends, so play early. Make sure you contact the university to ask when the best time is to arrive. Book flight to Japan to arrive for late September.&nbsp;<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\"><strong>Coursework:<\/strong> Begin your language immersion program (if applicable).<\/span><\/li>\n<\/ol>\n<hr>\n<h3><span style=\"text-decoration: underline\">While in Japan<\/span><\/h3>\n<h3><b>September<\/b><\/h3>\n<ol>\n<li><span style=\"font-weight: 400\"><strong>Residency:<\/strong> Obtain your residence card at the airport or appropriate municipality. Reference the information provided to you in the Pre-departure orientation and on the On-Site Timeline.<\/span><\/li>\n<li><span style=\"font-weight: 400\"><strong>Begin Semester Program.&nbsp;<\/strong><\/span><\/li>\n<li><strong>Scholarship Aid\/Financial Aid:<\/strong> Applies as usual<\/li>\n<\/ol>\n<hr>\n<h3><b>December &#8211; January<\/b><\/h3>\n<ol>\n<li><strong>Prepare for Internship:<\/strong>\n<ul>\n<li>Location\/assignment to be worked out with Dr. Takasawa<\/li>\n<li><strong>Working Papers Required<\/strong> \u2013 The university office will help you with visa extensions\/police district registration.<\/li>\n<li>Fill out the Required IEP Internship Application in URI Abroad by the <span style=\"text-decoration: underline\"><strong>Spring Course Registration Deadline<\/strong><\/span> (Jamie Loredo from OIE will email this to you). You MUST fill this out so that OIE can enroll you in the 12 credits you need to maintain your student status.<\/li>\n<\/ul>\n<\/li>\n<li><strong>Getting Courses Transferred and Intent to Graduate<\/strong> (if applicable)<strong>:<\/strong>\n<ul>\n<li>Upon completion of the exchange program, you will need to have your program\u2019s institution send an official transcript to OIE so that your transfer credit can be evaluated.
