People are already talking. Someone is standing alone by the coffee. A group near the registration table seems deep in conversation. You’re wondering where to go, what to say, and how long you need to stay before it counts as “networking.”

The good news? Working a room is a skill. You don’t have to be the loudest person there, and you definitely don’t have to meet everyone. You just need a plan.

In our guide on where to network in Rhode Island, we talked about choosing the right events instead of trying to attend everything. Rhode Island has many networking options, from chambers of commerce and industry groups to BNI chapters, and local business meetups. RISBDC also regularly hosts networking opportunities in Providence, Newport, and around the state for small business owners.

This article goes one step deeper. Once you’re in the room, what do you actually do?

Start before you arrive

The best networking doesn’t start when you walk through the door. It starts before you leave your office, shop, kitchen, truck, or home.

Take five minutes to answer three questions:

Who do I want to meet?

What do I want to learn?

What would make this event worth my time?

Set goals for the networking event. Here are some examples of goals:

Meet two potential referral partners.

Reconnect with one person I already know.

Learn what other business owners are seeing this season.

Introduce myself to the speaker or host.

Find one upcoming opportunity worth following up on.

BNI recommends focusing on a few real conversations instead of trying to meet as many people as possible, and that’s especially useful for small business owners with limited time.

Bring a flexible introduction

You’ll need a clear way to introduce yourself, but don’t treat your elevator pitch like a script you must recite word for word. Your introduction should fit the moment. At a casual coffee hour, you may only need:

“Hi, I’m Maria. I run a catering company in Warwick that helps small teams and families host easier events.”

At a more structured event, you may add:

“We focus on fresh, reliable catering for business meetings, showers, and small celebrations. A good referral for us is someone planning an event for 20 to 75 guests.”

Need help building that short introduction? Start with our guide on how to develop an elevator pitch. The goal isn’t to sound rehearsed. It’s to make it easy for people to understand what you do and remember when to refer your business to their friends, family, or clietns.

Enter the room like a host

One of the best networking shifts is also one of the simplest: act like a host, not a guest. The key difference is that a guest waits to be welcomed, while a host looks for ways to make other people feel comfortable.

That might mean introducing yourself to someone standing alone, inviting another person into your group, or helping two people meet because they should know each other. BNI describes this as a way to reduce pressure because your focus moves from “make a good impression” to “help someone else feel comfortable.”

This works because people remember how you made them feel. You don’t need a perfect opening line. Try:

“Hi, I don’t think we’ve met yet.”

“Is this your first time at this event?”

“What brought you here today?”

“Are you local to this area?”

“What kind of work do you do?”

Simple is fine. Warm is better than clever.

Know where to stand

Where you stand affects who you meet.

If you hide in the corner, you’ll make it harder for people to approach you. If you stand in the doorway, you may block people who are still trying to settle in. RISBDC’s earlier networking article recommends choosing spots where people naturally flow, including:

Near coffee or refreshments

Near the registration table after people check in

Along the side of the room, not tucked away

Between session rooms or other high-traffic areas where people naturally pause

Once you’re in a conversation, keep your body language open. If you’re in a group, leave space for someone else to join. A closed circle can signal “we’re full.” A slightly open shape says, “you can step in.”

Join conversations without forcing it

Joining a group can feel intimidating, but you don’t have to jump in with a big statement. First, read the room. Are people turned inward with serious body language? That may not be the best group to interrupt. Are they standing casually, smiling, and leaving some physical space? That’s usually easier to enter.

When you approach, try:

“Mind if I join you?”

Or:

“I heard you mention local hiring. That’s been coming up a lot lately. I’d love to hear your take.”

Then listen before you talk. This is where many people rush. They enter a conversation and immediately try to explain themselves. Instead, give yourself a few seconds to understand the topic, tone, and people involved.

Ask better questions

The easiest way to become more memorable is to ask better questions.

Most networking conversations get stuck at:

“What do you do?”

There’s nothing wrong with that question, but you can usually go one level deeper.

Try:

“What kind of clients are you working with most right now?”

“What’s been keeping you busy this season?”

“What’s changed in your industry lately?”

“What’s one thing you’re hoping to get out of this event?”

“What type of referral is most helpful for you?”

“What are you most focused on right now?”

Questions like these move the conversation from polite to useful.

They also help you understand how to help the other person. Networking works best when it’s relationship-building, not transaction-hunting. Think of effective networking as farming, not hunting: you’re planting relationships that may grow over time, not trying to close something in the first few minutes.

Exit conversations gracefully

This is the part people don’t talk about enough. A conversation can be good and still need to end. You don’t have to wait for an awkward pause or pretend you saw someone across the room. You can be polite and direct.

Try:

“I’m really glad we met. I’m going to say hello to a few more people, but I’d love to follow up.”

“This was helpful. Can I connect with you on LinkedIn?”

“I don’t want to keep you from meeting others, but I’m glad we had a chance to talk.”

“I’m going to refill my coffee, but I’ll send that information over.”

A good exit keeps the relationship warm. It also gives both people permission to keep working the room.

Follow up while it’s still fresh

The event doesn’t end when you leave. Follow-up is where networking turns into something useful. Within 24 to 48 hours, send a short note. Keep it personal and specific. For example:

“Hi Alex, it was great meeting you at the Newport coffee hour. I enjoyed hearing about your plans to expand your catering business this fall. Here’s the event contact I mentioned. I’d be happy to make an introduction if helpful.”

That kind of message is simple, but it shows you were listening. If you promised to send something, send it. If you offered an introduction, make it. If you said you’d schedule coffee, suggest a time.

Make networking part of your routine

One event can be helpful, but consistency is where networking starts to pay off.

BNI notes that relationships develop through repeated interactions and that showing up regularly creates familiarity, which can lead to trust and referrals over time. Rhode Island also has many recurring networking environments, including chambers of commerce, industry groups, business associations, and RISBDC events. The Greater Providence Chamber, for example, describes its networking events as opportunities to build relationships, exchange ideas, and connect with the local business community.

That doesn’t mean you need to attend everything.

Choose one or two spaces where your ideal customers, referral partners, or community connections are likely to be. Then show up consistently enough for people to remember you.

You can also explore upcoming RISBDC training and networking events to find regular opportunities to connect, learn, and meet other Rhode Island business owners.

A quick room strategy for your next event

Before your next networking event, try this simple plan:

Before you go: Choose one goal and prepare a short introduction.

When you arrive: Start with someone standing alone or near the coffee area.

During the event: Aim for three to five real conversations.

In each conversation: Ask what the other person is working on, who they serve, and what kind of connection would help them.

Before you leave: Write down who you want to follow up with and why.

After the event: Send a specific follow-up within 24 to 48 business hours.

Final thoughts: Work the room with purpose

Working a room doesn’t mean being the most outgoing person there.

It means arriving with a purpose, starting conversations with curiosity, making it easier for others to connect, and following up when there’s a real reason to do so.

Small business networking works best when it’s intentional. Choose the right rooms. Practice your introduction. Ask better questions. Listen closely. Follow through.

You don’t need to meet everyone.

You need to build the right relationships, one useful conversation at a time.

Need help building a networking strategy for your business?
