{"id":2796,"date":"2014-09-22T11:25:05","date_gmt":"2014-09-22T15:25:05","guid":{"rendered":"https:\/\/web.uri.edu\/studentsenate\/?p=2796"},"modified":"2014-09-22T11:25:05","modified_gmt":"2014-09-22T15:25:05","slug":"finance-9-12-2014","status":"publish","type":"post","link":"https:\/\/web.uri.edu\/studentsenate\/finance-9-12-2014\/","title":{"rendered":"Finance Committee Minutes 9-12-2014"},"content":{"rendered":"<p><strong>Meeting Started<\/strong>: 3:10pm<\/p>\n<p><strong>Attendance<\/strong>: Cortez, Walker, Glass, Kidd, Sit, Anderson, Wrestling represntative, Panhel and<\/p>\n<p>IFC representatives, CVSA representative, and Wrestling Club representatives<\/p>\n<p><strong>Panhel and IFC<\/strong><\/p>\n<ul>\n<li>Panhel is asking for money into their printing line because of a rush order.<\/li>\n<li>The representatives are still learning the position so they were threw into the process<\/li>\n<li>IFC and Panhel were budgeted $300 last year for their printing budget. They use<\/li>\n<\/ul>\n<p>resources at the Christopher house also. Frat Management pays for the printing in the<\/p>\n<p>Christopher house. They have the invoice for the booklets. It leaves $125 in their budget<\/p>\n<ul>\n<li>These booklets are used for recruitment.<\/li>\n<li>Are there other printing expenses during the school year? There might be one for<\/li>\n<\/ul>\n<p>philanthropic week but it comes out of IFC because it is another programming expense<\/p>\n<ul>\n<li>The representatives did not know that they were going to be charged extra.<\/li>\n<li>The information in the book changes every year. Some chapters are usually behind.<\/li>\n<li>Cost the same last year. Shipping and Handling cost $50 and last year Panhel spent<\/li>\n<\/ul>\n<p>$1165<\/p>\n<ul>\n<li>Not adequate transition with time between elections and the time I started.<\/li>\n<li>Let\u2019s hold them to the same student organization standards<\/li>\n<li>IFC and Panhel are one of the 7 groups thats can spend money over the summer. Did<\/li>\n<\/ul>\n<p>you guys spend money during the summer? Andrea from the Christopher house did it.<\/p>\n<ul>\n<li>Do the chairs do the financial paperwork and make you sign off on it? So for<\/li>\n<\/ul>\n<p>programming they get to do it on their time but they work with us. With recruitment they<\/p>\n<p>have an overall budget and then they spend it until there isn\u2019t anything. Treasurer just<\/p>\n<p>sets a budget for the overall school year.<\/p>\n<ul>\n<li>A lot of positions decide how to spend the money and then the treasurer just sign off the<\/li>\n<\/ul>\n<p>paper work.<\/p>\n<ul>\n<li>IFC representative states that they didn\u2019t know about the expense and didn\u2019t realize they<\/li>\n<\/ul>\n<p>wanted to use the senate money. They both just found out today.<\/p>\n<ul>\n<li>Idea: Can improve these issues by incorporating IFC liaison to educate on senate<\/li>\n<\/ul>\n<ul>\n<li>However, from what the Finance Chair know liaisons typically just listen and don\u2019t<\/li>\n<\/ul>\n<p>speak during meetings<\/p>\n<p>Recruitment is one week earlier this year. Had to push up recruitment because of the Jewish<\/p>\n<ul>\n<li>The money for booklets typically comes out of Student Senate money<\/li>\n<li>.Senate isn\u2019t suppose to use the money for greek recruitment<\/li>\n<li>Let\u2019s move that their printing line be washed out for the penalty. Since this is an exception<\/li>\n<\/ul>\n<p>to the finance handbook we have to bring it to the Student Senate floor. We would either<\/p>\n<p>take the money from fundraising money, it\u2019s only $95.<\/p>\n<ul>\n<li>The penalty comes to $293 after doing the math<\/li>\n<li>The choice of bringing this to the Senate floor or to get pay the 25% now from your other<\/li>\n<\/ul>\n<p>lines (advertising).<\/p>\n<ul>\n<li>$376 would be left in the advertising line and last year both IFC and Panhel didn\u2019t use any<\/li>\n<\/ul>\n<p>of it.<\/p>\n<ul>\n<li>Decision: Taking the penalty by washing out printing line and taking the rest of the penalty<\/li>\n<\/ul>\n<p>out from the respective lines (advertising).<\/p>\n<p><strong>WRESTLING CLUB:<\/strong><\/p>\n<ul>\n<li>There is no practice space that the school will lend to the club. Last year they practiced<\/li>\n<\/ul>\n<p>off campus in Wakefield. They want to use the space again. They spoke about pricing<\/p>\n<p>last week and we listed the specific. $50 per class. They want to practice one week in<\/p>\n<p>October, whole month of November, and possibly one week in December, January,<\/p>\n<p>February, and March. Three times a week at $50 that comes to $1800 at 36 practices<\/p>\n<ul>\n<li>Last year Wrestling club paid $750 but it was different. Last year the representative was<\/li>\n<\/ul>\n<p>less experienced in this so he didn\u2019t know how to get things approved until late in the<\/p>\n<p>season. The owner of the club didn&#8217;t get the check until January. Wrestling club started<\/p>\n<p>when the spring semester. Last year it was a monthly rate at $250 a month. Owner got<\/p>\n<p>paid the $750<\/p>\n<ul>\n<li>It is more money this year because of more improvements in the space<\/li>\n<li>The club has explored other space: only one in cranston and it is in Cranston West High<\/li>\n<\/ul>\n<p>School<\/p>\n<ul>\n<li>The club has mats but can\u2019t roll them anywhere or store them<\/li>\n<li>First practice is in the last week of October<\/li>\n<li>FINANCE CHAIR: My opinion that we should hold off in this until next week. I want to meet<\/li>\n<\/ul>\n<p>with Brad Irish and Bruce and Mackle and the Wellness center.We should talk and have<\/p>\n<p>these conversations together to figure this out. I\u2019ll email you after I set up those<\/p>\n<p>appointments<\/p>\n<p><strong>Cape Verdean Student Association:<\/strong><\/p>\n<ul>\n<li>CVSA came up with a budget for the fall and spring semester. They went off on the<\/li>\n<\/ul>\n<p>things we did last year as far as events, retreats, dances, and CV week.<\/p>\n<ul>\n<li>Clarify a couple of things. Each event should be separated an item in the grant. For<\/li>\n<\/ul>\n<p>example, the retreat doesn\u2019t specify time or purpose. Food is a big issues, be very<\/p>\n<p>specific like vendor quantity. We never pay for shirts. Explain the entire event. Separate<\/p>\n<p>grant forms. You have party on the 25th and it is approaching very quickly. Finance quiz?<\/p>\n<p>and then sign signature cards. Office hours are posted. and remember with a DJ to sign<\/p>\n<p>a contract.<\/p>\n<p>Back to committee:<\/p>\n<ul>\n<li>Review the edits that Sheryl\u2019s boss, Susan made with the finance handbook<\/li>\n<li>Chair: I think there will be a couple of other edits this week. I took out the loans originally<\/li>\n<\/ul>\n<p>but I think we are going to add it back and well. And added a section on mileage<\/p>\n<p>reimbursement stuff. For the loans I add that groups have to submit a payment plan and<\/p>\n<p>in stages. This way we can be proactive. and a \u2154 of finance committee approval.<\/p>\n<ul>\n<li>Suggestions for the handbook? The restriction part sounds a little weird. It sounds like<\/li>\n<\/ul>\n<p>people can\u2019t have food maybe retitling it or clarifying.<\/p>\n<ul>\n<li>Chair: Another things that is coming up is the Finance workshop. We will be working with<\/li>\n<\/ul>\n<p>Denise. I want to see if someone here can help about with it. This included reviewing the<\/p>\n<p>new handbook, how to fill out forms, and how to run events.<\/p>\n<ul>\n<li>Chair: A couple of things to train the committee on: how to do inventory.<\/li>\n<li>Kidd: I think inventory techs should write up a blog for what they did.<\/li>\n<li>Sit: I like that idea and send it as an email. I am more concerned with the computer tech.<\/li>\n<li>Anderson: Do you think Zach can minimize the workload.<\/li>\n<li>Sit: there isn\u2019t that much that the cpu tech does.
