Cordova, Romanuel Percy, Michael Bachials, Natasha Nemeth, Austin Faria, Dan Depetro, Dan Bertel<\/p>\n<p><strong>Absent: <\/strong>\u00a0Stephanie St. Louis, Zach Taylor<\/p>\n<p><strong>Non-Committee<\/strong>:<\/p>\n<p>&nbsp;<\/p>\n<p><strong>COMMITTEE DISCUSSION:<\/strong><\/p>\n<p><strong>\u00a0<\/strong><\/p>\n<p><strong>Stipend Review<\/strong><\/p>\n<p><strong>\u00a0<\/strong><\/p>\n<ul>\n<li><strong>Student Entertainment Committee<\/strong>\n<ul>\n<li>About the Group\n<ul>\n<li>Does both free and ticketed events for the campus.\u00a0 Have big events like concerts.\u00a0 Also does smaller events such as the lobster bake and movies.\u00a0 The entertainment ideas are picked for by the students for the students.\u00a0 The committee serves an organizational role to make the ideas happen.<\/li>\n<li>No other group on campus fills this role.<\/li>\n<li>Elections are held according to student senate standards.\n<ul>\n<li>Election committee for senior level positions consists only of seniors.<\/li>\n<li>Voting privileges requires:\n<ul>\n<li>Attend 25 meetings per semester<\/li>\n<li>Assist with ushering\/load in for 3 events<\/li>\n<li>Volunteer for 10 promotional booths per semester<\/li>\n<\/ul>\n<\/li>\n<li>These requirements are to prevent the vote being flooded by non-participating people.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li>Recruitment and Retention Coordinator\n<ul>\n<li>Like the Vice-president.\u00a0 Conduct ice-breakers at each executive board meeting (starts off meeting with something fun to do).\u00a0 Organizes and conducts semester retreats (find place to go, food).\u00a0 Plan a minimum of 3 retention events yearly (SNDGG, End of Year Party, Thanksgiving, Formal, group outings).\u00a0 Organize and conduct semester general member appreciation events.\u00a0 Organize recruitment meetings at the beginning of each semester.\u00a0 Lead the election committee during the fall and spring election process.\u00a0 Send acceptance and rejection letters after each election cycle.\u00a0 Conduct monthly meetings with the Vice presidents from each subcommittee to brainstorm R&amp;R activities.\u00a0 Organize and coduct booth at Welcome Days.\u00a0 Participate in 2 on 1 meetings with the Chairperson (Check-in meetings with the executive board, at least one per semester per person).\u00a0 Prepare transition materials with the Chairperson for officer transition.\u00a0 Acts as the Chairperson in their absence.\u00a0 6 office hours weekly.\u00a0 Tidies up office (stewardship).<\/li>\n<li>Vote: (7-0-0)<\/li>\n<\/ul>\n<\/li>\n<li>Business Manager\n<ul>\n<li>Essentially the treasurer for SEC.\u00a0 Financial liaison to the senate finance chair.\u00a0 Oversee all financial operations.\u00a0 Oversee the budget and balance for all subcommittees.\u00a0 Subcommittees prepare a purchase requisition to the business manager.\u00a0 Prepares budget proposal for the upcoming year.\u00a0 Serve on the election committee.\u00a0 Assist with load in\/out at show.\u00a0 Participate at promotion booths.\u00a0 6 office hours weekly.<\/li>\n<li>Training for the position is institution memory, reading the transition materials and the finance handbook.<\/li>\n<li>The organization cannot be recognized by Student Senate without a treasurer.<\/li>\n<li>Budget handled: $442,900<\/li>\n<li>Vote: (9-0-0)<\/li>\n<\/ul>\n<\/li>\n<li>The Chairperson (President)\n<ul>\n<li>Communicates with the university.\u00a0 Acts as the liaison for SEC to the university.\u00a0 Deals with external responsibilities and act as the face of the committee.\u00a0 Delegates the responsibilities to subcommittees.\u00a0 Schedules and organizes executive board meetings.\u00a0 Handles training process for new committee members. \u00a0Fill out applications for the group.\u00a0 Handles the re-recognition process for the group.\u00a0 Ensure that everyone is doing their job.\u00a0 Holds meetings or outreach with people to help resolve problems.\u00a0 8 office hours weekly.\u00a0 Serve on the election committee for the fall and spring semesters.<\/li>\n<li>Setting general policy for the organization: establish basic rules during show for what is and is not appropriate.<\/li>\n<li>Signatory power: to be able to fill in if other people are not available to sign forms.<\/li>\n<li>Review objective and goal sheets:\u00a0 talk to people about the goals set for the semester and see how they are coming along.<\/li>\n<li>Act as a mediator for discussion or disputes.<\/li>\n<li>The Chairperson position is vital for the group to function.\u00a0 The role of the position is to ensure that the group can function and facilitate communication within the group.<\/li>\n<li>Voting: (9-0-0)<\/li>\n<\/ul>\n<\/li>\n<li>Administrative Secretary\n<ul>\n<li>Secretary for all of SEC.\u00a0 Keep track of all the paperwork and attendance for the executive board.\u00a0 Take minutes at executive meetings and distribute those.\u00a0 Email minutes and upload them to Google drive.\u00a0 Ensure that the office supplies are up to date, order supplies, ensure the office is clean.\u00a0 Responsible for counting the office hours and keep a tally and email people if they are behind on their hours.\u00a0 Attend two subcommittees monthly.<\/li>\n<li>Communicates with vice-presidents for the attendance for their meetings.<\/li>\n<li>Attend every event and takes attendance.\u00a0 Communicates with the vice-presidents for every event.<\/li>\n<li>The Administrative secretary unofficially coordinates philanthropy activities.<\/li>\n<li>Creates a contact sheet every fall and updates them in the spring.<\/li>\n<li>Required 74 office hours per semester.<\/li>\n<li>Vote: (5-1-0)<\/li>\n<\/ul>\n<\/li>\n<li>VIP President\n<ul>\n<li>Making sure that everyone feels welcome at the committee.\u00a0 Bring in impactful people for shows.\u00a0 Organize events, create advertisement, get good attendance for the show.\u00a0 Brings ideas from other sources to committee for opinions.\u00a0 Create advertisement for both own events and events from other student organizations.\u00a0 Work with committee to make shows as successful as possible.<\/li>\n<li>Contact with advertising manager: President contacts the advertising manager to create an advertisement and ensure that it is appropriate.\u00a0 The PR coordinator distributes the advertisements.<\/li>\n<li>Committee has around 6-15 people (the committee is the smallest).\u00a0 Small group means more invested members.<\/li>\n<li>Vote: (5-0-0)<\/li>\n<\/ul>\n<\/li>\n<li>Advertising President\n<ul>\n<li>6 office hours weekly.\u00a0 Does flyering around campus and in providence.\u00a0 Holds committees weekly.\u00a0 Create advertisement and presents them to the students to increase attendance of shows.<\/li>\n<li>Different from public relations coordinator in that this position handles the flyering whereas the public relation coordinators handles social media and communicates press releases<\/li>\n<li>Spring-fest and Fall Frenzy are the largest responsibilities of the Advertising subcommittee.<\/li>\n<li>If the position did not exist, outreach to students would be greatly reduced.\u00a0 Attendance of shows and events would be lower.<\/li>\n<li>Current holder of position was elected in February.<\/li>\n<li>The previous spring semester, the position was not filled.\u00a0 The executive committee decided not to fill the position as there were not any applicants with enough experience.\u00a0 The responsibilities were spread out to other people in the group.\u00a0 The group could not advertise as effectively as before.\u00a0 The group did not have a Fall-fest the previous semester because of budget reasons, this reduced the responsibilities for the advertising committee.\n<ul>\n<li>According to the bylaws, the position must exist for 3 semesters.<\/li>\n<\/ul>\n<\/li>\n<li>Vote: (5-0-0)<\/li>\n<\/ul>\n<\/li>\n<li>Special Events President\n<ul>\n<li>6 office hours weekly.\u00a0 Runs weekly subcommittee.\u00a0 Attends executive committee.\u00a0 Attend advertising for upcoming events.\u00a0 Attends events from load in to load out.\u00a0 Conducts events such as major comedy shows, the annual lobster bake, etc.\u00a0 Ensure that general members attend the shows.\u00a0 Host free movie showings.\u00a0 Hold other daytime distractions.\u00a0 Ensure the communication occurs between the subcommittee and the overarching committee.\u00a0 Coordinate group members during the shows.\u00a0 Create a timeline\u00a0 and checkpoints to ensure that events occur<\/li>\n<li>The subcommittee currently has about 10 people.<\/li>\n<li>Events are chosen by polling the general members of the Student Entertainment Committee.<\/li>\n<li>Without the Special Events President, events such as movies, and other shows would not occur.<\/li>\n<li>Vote: (5-0-0)<\/li>\n<\/ul>\n<\/li>\n<li>Hospitality Coordinator\n<ul>\n<li>6 office hours weekly.\u00a0 Attends 2 subcommittee meetings a month.\u00a0 Attends all SEC sponsored events.\u00a0 Take care of the artists and performers who come the university.\u00a0 Buys and prepares everything that the artist requests.\u00a0 Set up and clean up the dressing room.\u00a0 Take care of any last requests from the performer on the day of the show.<\/li>\n<li>Position is required to have one person to professionally interact with the artist and ensure that they are happy.<\/li>\n<li>There is a co-coordinator for hospitality.\u00a0 This person is takes care of errands for the coordinator.<\/li>\n<li>Vote: (5-0-0)<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li><strong>The Good 5 Cent Cigar<\/strong>\n<ul>\n<li>Staff Photographer\n<ul>\n<li>Submit 5 photos a week.\u00a0 Thursday night, after writers get assignments, get assignments depending on what stories are assigned that week.\u00a0 Photos are either put in the paper, online, or archived.\u00a0 Photos are probably going to be used for future stories.\u00a0 Spend about 1-5 hours weekly on photos.\u00a0 Goes to events, sport games, lectures.<\/li>\n<li>Archived photos fill in for missed assignments or if the photo taken is not suitable for the article.<\/li>\n<li>Photo editor position has the same requirements as the staff photographers.
