Housing Update – Cancellation and Move Out or Request to Stay Processes

As fellow members of the URI family, we are here for you. As you likely know, the University of Rhode Island has decided to continue the remainder of the spring 2020 semester in a remote format. Based on this information, Housing and Residential Life (HRL) expects residential students to either 1) cancel their housing contracts for the remainder of the semester and move out of their current housing assignments by April 5, 2020 or 2) indicate their need to remain living on campus for the remainder of the spring semester.

Statement of Intent

We appreciate those of you who completed the Statement of Intent earlier to help us better plan. However, this is no longer necessary. Instead, we are asking you to complete four steps if you plan to cancel your housing and dining agreement and move out, or submit one form if you need to continue living on campus.

1a) I plan to cancel my Housing and Dining agreements and move out.

Cancellation And Move-Out

To cancel your Housing Agreement, please:

  1. Complete the Housing Cancellation Request form in your MyHousing portal in e-Campus no later than midnight, April 3, 2020.
  2. Schedule yourself a 2-hour Move-Out Appointment in your MyHousing portal in e-Campus. To help ensure social distancing of our students and their families, we will be limiting move- out appointments to 10% of residents of a residence hall during a 2-hour window, so some appointment times may be limited or unavailable. Available times will appear on your MyHousing portal after you submit a Housing Cancellation Request form. Appointment times will begin on March 20, 2020 and will conclude at 8 p.m. on April 5, 2020.
  3. Return to campus during your scheduled move out appointment and do your best to complete your move-out during this window, but also practice good social distancing in the process. This includes coordinating with any roommates so you’re not checking out at the same time.
  4. Push the Express Check-Out button in your MyHousing portal in e-Campus once you are moved out of your current housing assignment. This will complete the cancellation and move-out process, and will discontinue your access to the residence hall and your room. Please make sure this is the final step.

Refunds

Once you have completed all steps, HRL will share this information with Enrollment Services for processing a refund. Your patience as these are processed under the current extreme circumstances is appreciated. Refunds will be issued after any outstanding balances on the student’s account are resolved, according to student preferences, which can be indicated or changed at https://web.uri.edu/enrollment/refund-information/

Canceling your current housing assignment for the remainder of the spring 2020 semester will have no impact on your ability to select housing for the 2020-2021 academic year; we welcome your return!

1b) I plan to cancel my Housing and Dining agreements, but can’t come get my things myself.

Designating A Proxy To Collect Your Things

If your health or current travel restrictions will hinder your ability to return to campus to collect your belongings, you may designate a proxy to assist with your move-out process. To ensure the security of your possessions please follow these steps:

  1. Complete CANCELLATION AND MOVE-OUT steps #1 and #2 above.
  2. Send an email from your URI account to HRL Customer Service (customerservice@housing.uri.edu) with the following information:
    • Your first and last name, student identification number, building, and room number
    • First and last name of your designated proxy person and their relation to you
    • Phone number and email of proxy person
    • Target date/time to collect items
      1. Your proxy should request to arrive between 9 a.m. and 5 p.m. Monday through Friday if at all possible. While we understand the many constraints on time for most people, we may not be able to accommodate proxy arrivals outside of business hours due to limited staffing
      2. Also due to limited staffing, we may not be able to accommodate last-minute proxy requests. Please provide this information at least two business days prior to your proxy’s target arrival time/date
  3. Your Hall Director will receive this information and will coordinate directly with your proxy person to ensure building and room entry

Unable to Designate a Proxy to Collect Your Things

If you are unable to move your belongings out by April 5 and are unable to secure a proxy, please contact URI Housing Customer Service (customerservice@housing.uri.edu, 401.874.4151). We will do our best to work with you!

2.) I need to remain on campus for the remainder of the Spring Semester.

Request To Remain On Campus

We understand that for some of our students, their personal and family circumstances will necessitate that they remain on campus. For the purposes of best preserving the health and safety of our students, and to ensure that we can continue to deliver critical resources, we are requiring that students submit requests to stay on campus after April 5. These requests should be submitted by Friday, April 3 at noon for consideration. Visit your MyHousing portal to submit your Request for Continued Housing. The following conditions will apply for any student residing on campus after April 5:

  • Residents will receive a confirmation email, along with guidelines and expectations regarding their continued stay during this extraordinary period.
  • Regardless of where HRL relocates you, you will continue to be charged your current room rate.
  • Students required to relocate will receive additional instructions via email at a later date

Other Relevant Info

Mailroom

We strongly encourage students to complete mail forwarding information with the United States Postal Service. Union Express is scheduled to be open 7 days a week from 9 a.m. through 3 p.m. until further notice. We will be providing information about how students can request some previously delivered packages. Students can call 401.874.2189 or mailroom@etal.uri.edu.

Triple Room Rebate

The triple room rebate is in route to Enrollment Services and will be processed before any cancellation refunds.

2020-21 Room Registration

The dates have been extended once and should be adhered to. If they are adjusted again, we will send residents an email. Check out our website for more information.
