WBRIU

  • WRIU $122.80 to pay outstanding debt to campus and design from an expense last year
  • Only used this line to purchase a billboard
  • One option is taking the outstanding debts and taking it out of magazine and expenses. We are doing it now because they didn’t have a purchase order to pay it.
  • How will it impact you? 2 years ago WBRIU only spent $175 so it will be too much of an impact.
  • 3 different subscriptions. Their expenses last year were $275. They need the money. So we have to do a grant.
  • We are all in favor, since it was something that happened last year and we can’t take it out of anywhere else. Looking at their lines that have money is advertising ($50) and postage that they use. As of last year budgeting we tried to be on track for what they needed. $122.80 grant to cover these expenses.

 

  • Bring it to special exception to the Student Senate floor. We are in favor of that. Into category 110 of copying and printing. WBRIU usually doesn’t spend a lot in copying and printing. They do have $50 in advertising to use how they feel it is needed.

 

Gaming club

  • So basically our issue in the moment is that the circulation of air in the union doesn’t circulate in our room. There is nothing blocking the air; the airway is just not efficient. We can’t get an AC because there are no windows. We would have to install a new circulation system into the walls of the Union. At max it would $1500 to make and they can’t give it to us now. We are asking to see if we can get some help. We are trying to figure out a way to get some relief in there. We have gotten fans. I don’t know how to proceed with this. HVAC. Asking Al Haskins to see what other options we have.
  • We have only tried smaller fans.
  • We are here to make sure they have a room so they can retain members, etc.
  • Taking air from another space?
  • Solution: Subcommittee (Kidd, Glass) to meet with Bruce and Al to sort this issue out.

 

LASA

  • Rep: We are asking for $900 for LASA Culture show. In honor of Hispanic heritage month. We do this culture show every year. Last year we did sweets so we did Spanish goodies. We want to do more authentic food. Since Dining hall can’t provide us authentic food. This includes rice con gandules, etc.. We are asking for $200 for the DJ. He is performing from 6-9pm. October 8th 6pm-9pm.
  • How many people are you expecting? We are providing food for 200 people. One of LASA’s biggest events. Everything is free for people.
  • The cost of the food would normally $800 but we know the restaurant. We are getting a good deal for everything she is providing. There will be food, performance, salsa dance, belly dance, PR chair is performing as well. Representing different countries. It’s a full cultural experience.
  • Do you also have utensils? That is the “Extra”, so it is fork and knives and soda.
  • Who is serving the food? If they are, they need a food handling license.
  • We have enough money in contingency to pay for this. It is already registered with the SEA office. Next time feel free to include everything including advertising costs. Are there any updates? No.

 

SOLC

  • The issue is that we have a budget of 13000 and a little bit of a change. The reason for this number is because it was cut from our earlier budget. Then we paid for the Greek Summit entirely which was 3000, I thought we were going to get money from the Greeks. We do not have enough money to fulfill our duties as SOLC for this semester. We have 11 retreats already scheduled. We can’t say yes or no to the organizations because we don’t have the money for it. We are asking where to go from there.
  • When we redid the budget that was when we put 50% payment of retreats so this time we budgeted money for the Greek money. Since they didn’t enforce the 50% to the greeks, SOLC had to pay for it.
  • What is the Greek leadership summit? Every year they plan an overnight retreat before the school year. IFC and Panhel. They have always done this from their budget. In the past Student Senate has fully paid for it with compacts.
  • Was there a contract before the retreat? To my knowledge, no. I didn’t think that IFC and Panhel was a part of the Greeks, unless it was for an individual chapter.
  • Do you ever tell organizations how much it would cost? If it is overnight yes.
  • Is this the first year IFC did this with SOLC? To my knowledge yes.
  • SOLC was cut by the 50% IFC was supposed to pay for.
  • Who wrote the purchase requisition? Allie. She did it thinking the budget was already there. You don’t collect payment until after the retreat? No. We try to get it before the retreat.
  • The 50% you budgeted, it was already in our line included to 13000.
  • I don’t think we knew this. I don’t think the communication about 50% was delivered.
  • Last year there were 8 retreats at $700 each. Extended retreats at $1200
  • Do you expect more retreats in the Spring. YES
  • We have more shopaarons and now we have a new grad assistant. And so far we have 11 day retreats
  • Solution: add $600 to budget

 

Cody Anderson

  • My event is Oct 4 and it is called Rhody Grills. I have invited a lot of the student groups. It is tailgating. It is run from cultural committee.
  • Sit: I had the assumption that cultural was running it. Who is going to be manning the event?
  • Anderson: Sarah and I will run it and her committee will be there. Move money from contingency so Cultural can pay for it through their account.
  • $2500 line and cultural programming.

  • I want committee to watch. Show people what kind of forms do what.

For next meeting

  • SOLC will be splitting into it’s own org with it’s own line. We are going to dust off what they need to pay. Allows them to have their own marketing budget.
  • Interviews for inventory and computer tech. I would like to have 3 plus chair to be there.
