PROCEDURES FOR NON-CLASSIFIED STAFF AND FACULTY LIMITED PERIOD POSITIONS
I. PURPOSE:
To describe procedures for extending and terminating Non-Classified Staff and Faculty limited-period positions.
II. APPLICABLE TO:
Non-Classified and Faculty limited-period positions only (not applicable to employees hired through internal payroll process).
III. DEFINITION:
A limited-period position is one which is scheduled to end on the date specified on the appointment request form including Request to Fill (RF-1), Position Action Form (PAF), Employee Action Form (EAF),
Vacancy Notice, and CS-3, known as the ending date. All grant-funded and overhead-funded positions shall be considered limited-period positions.
IV. PROCEDURE:
A. HIRING – See the Policy and Procedures for Employee Recruitment, Selection, and Hiring for hiring Non-Classified Staff.
B. EXTENDING APPOINTMENT – An Employee Action Form (EAF) must be processed in eCampus to Extend a Limited Period Position.
C. TERMINATING – The Office of Human Resource Administration must be notified at least 30 days in advance if a limited appointment is not being renewed or if
funding curtailment results in the need for a layoff. An Employee Action Form (EAF) must be processed in eCampus to terminate a Limited Period employee.
V. BENEFITS
Employees in Non-Classified Staff and Faculty limited-period positions of less than six (6) months are not entitled to benefits.
Limited Non-Classified Staff and Faculty appointments, at least twenty (20) hours per week, with appointments for (6) six months or more will be eligible for benefits immediately when placed on the regular bi-weekly payroll.
Benefits: Employees whose appointments are at least 20 hours per week and six (6) months in duration are eligible for:
– Health insurance, subject to premium co-shares
– BOG 403(b) Alternative Retirement Plan
– Vacation – 22 days per year for calendar year appointments;
(vacation days prorated for reduced year appointments)
– Sick leave – 15 days per year
– Personal Days – 4 days for calendar year appointment
– Parental Leave – up to 6 consecutive weeks for employees who have completed
at least one (1) year of service
– Workers’ Compensation and Unemployment insurance coverage
– Fulltime employees are eligible for BOT tuition waiver program
– Appointments between 16 and 19 hours per week accrue vacation and sick leave
on a pro-rated basis only
Employees accrue vacation and sick leave every pay period (2 Weeks) and are paid for unused vacation upon termination, subject to BOT policy guidelines.
Limited Non-Classified Staff appointments, at least twenty (20) hours per week, for less than six months, will not be eligible for benefits. However, If their appointment is subsequently extended to or beyond a six-month duration, benefits will be effective the date the extension is processed.
