Notes:

No groups are coming today. President’s meeting tonight in the ballroom at 7 pm. We will not be doing round tables. We will be doing an activity with index cards. They will be number 1 – 45 and placed under chairs. The matching numbers find each other and discus what is going well, want to improve, a question for the other group. GOAL: learn from strengths of other groups. SEA will talk about room reservations. Next President’s meeting will be the second Monday of the month, not first because of Ace of Cakes.

URI A Capella meeting went well to make them an umbrella organization. If you want to help me draft a constitution for it, please help. This is something we have never done before so the constitution will be a lot of work.

URI A Capella will have its E-board and representatives from each organization. The representative cannot be a member of the E-board. We need to figure out how to get more groups to join. All of the groups will have auditions at the same time. URI A Capella will be the “liaison” to senate because they are the umbrella group who has the other groups within it. Maybe someone on the E-board should be in charge of recruitment/auditions. E-Board will host auditions so it is consistent and well organized. All members of any of the smaller groups can vote for the E-Board of URI A Capella. The representatives will be elected through the smaller group.

Chairman met with the currently groups who want to be A Capella groups and they are working together to create a constitution through google docs because finding a time to meet is difficult.

Constitution Points:

  • Are members of the individual groups going to have to audition every year?

o   Idea: In April, each individual group has elections for its executive board which will exist for the next year. This board will be the ones choosing the new members during auditions.

  • How are they going to be able to remove members from the group? (method of removal)

o   Majority vote by secret ballot.

  • Auditions:

o   You can choose which groups you are auditioning for.

o   If you are accepted to more than one group, the individual chooses which one they accept

o   People who audition in the fall and are accepted to an individual group are accepted until the end of the year.

o   Spring additions are for people who are looking to join. If you got on in the fall, you do not have to audition in the spring. The individual groups E-Board makes the selections for spring auditions.

o   Auditions may have to be held on various days and applicants sign up for a time that works best for them.

  • Selection

o   Selection based on talent and gender (for men’s and women’s group only)
