2018 GROUP SALES AGREEMENT

Thank you for choosing The Holiday Inn South Kingstown as the site for the URI Graduate Conference Room Block. Based on your requirements, I have outlined the following details for your consideration and approval:

GUEST ROOM COMMITMENT

The Hotel agrees that it will provide and URI Graduate Conference Room Block agrees that it will be responsible for utilizing, room nights in the pattern set forth below:

GROUP ROOM RATES

Based upon URI Graduate Conference Room Block requirements as outlined in this agreement, Hotel confirms the following group rates (net of all taxes):

Nightly Rate: $99.00 per night

Hotel room rates are subject to applicable state and local taxes (currently 13%) in effect at the time of check in.   Check –in time is 3pm; check out time is 11a.m.

CUTOFF DATE

Reservation by attendees must be received on or before April 1, 2019. Upon the Cutoff Dates, Hotel will review the reservation pickup for the Event, release the unreserved rooms for the general sale, and determine whether it can accept reservations based on a space-and rate-available basis at the groups rate after this date

CANCELLATION

There is a 14 day cancelation policy for all individual guest rooms. Hotel rates are subject to applicable state and local taxes (currently 13%) in effect at the time of check in.   Check –in time is 3pm; check out time is 11a.m.

ADDITIONAL GUEST ROOMS

Requests for additional guest rooms are subject to the discretion of the Hotel and will be based on a rate and guest room availability.

METHOD OF RESERVATIONS

Reservations for the event will be made by individual attendees, reservations can be made directly with Holiday Inn Reservations at 1-800-holiday, www.ihg.com or with the hotel directly at 401-789-1051. They will use the group code to reference the rate either on line or by phone.

GUARANTEED RESERVATIONS

All reservations [“FOR ARRIVAL AFTER 6:00 PM”] must be accompanied by a first night room deposit or guaranteed with a major credit card. Hotel will not hold any reservations [“AFTER 6:00 PM”] unless secured by one of the above methods.

METHOD OF PAYMENT

Individual to pay room, tax and incidentals (cash-paying guests may be asked to leave a cash or credit card deposit to Guarantee payment)

CHANGES, ADDITIONS, STIPULATIONS, OR LINING OUT

Any changes, additions, stipulations, or deletions, including revisions such as lining out by either Hotel or URI Graduate Conference Room Block will not be considered agreed to or binding on the other unless such modifications have been initialed or otherwise approved in writing by the hotel.

ACCEPTANCE

Prior to execution by both parties, this document represents an offer by the Hotel. Unless the Hotel otherwise notifies the URI Graduate Conference Room Block any time prior to execution of this document, the outlined format and dates will be held by the hotel on a first-option basis. Upon receipt by Hotel of a fully executed version of this agreement prior to, or upon Hotel’s acceptance of this agreement after such date, it will be placed on a definite basis and will be binding upon the Holiday Inn South Kingstown and URI Graduate Conference Room Block.                           

Holiday Inn South Kingstown and URI Graduate Conference Room Block have agreed to and have executed this Agreement by their authorized representatives as of the dates indicated below. Please sign and return by March 14, 2019
