Candidate Packet Access
Packets are the term used to describe the collection of work that is to be reviewed.
Your faculty members’ packet will be available to you once they submit all sections of the packet.
Once you’ve been notified that your faculty members’ packet is available, it will be available in your Action Items.
Chair/Administrator Review Deadlines
For Tenure-Track/Clinical/Research Faculty
- May 1st – Deadline for development and vote on peer evaluation procedure for all faculty tracks
- May 1st – Deadline to provide names of faculty up for review/promotion to the faculty and the Dean
- May 1st – Provisional list of external reviewers provided to Dean for promotion/tenure cases
- September 1st – Deadline for final selection of external reviewers for candidates being considered for tenure and/or promotion to Associate Professor or Full Professor
- November 1st – Preferred deadline for return of external reviews. Five business days prior to December 1st – copy of Chair’s evaluation given the faculty member
- December 1st – Department Chair evaluation uploaded to Interfolio
- February 15th – Dean review to faculty member, and uploaded to Interfolio for faculty. Cases advanced to Provost for faculty being considered for tenure and/or promotion
For Teaching-Track Faculty
- December 1st – Chair’s (or chair’s designee) classroom observation completed
- December 20th – Chair’s written classroom observation reflection provided to faculty member
- Five business days prior to March 15th – copy of Chair’s summary evaluation given the faculty member
- March 15th – Department Chair evaluation uploaded to Interfolio
- April 15th – Dean’s review to faculty member, and uploaded to Interfolio. Cases advanced to Provost for Associate Teaching Professors being considered for promotion to Teaching Professor

Please help your faculty develop an effective dossier by sharing Appendix B of the URI-AAUP Collective Bargaining Agreement for Joint Guidance on Preparing Dossiers for the Evaluation of Contributions to the Instructional Program.
External Review
External reviews are required for all promotion and/or tenure cases for faculty in tenure-track, clinical and research appointments (see 15.7 of the AAUP contract). Clinical faculty may be exempted from the requirement of external letters by agreement of the faculty member, chair (in colleges with departments), and dean (see section 26.1.5.g of the AAUP contract). Evaluation of faculty for a Full III performance-based salary increase is based on the review process, and therefore does not include external reviews. (see Appendix A of the AAUP contract).
Our Office recommends reaching out informally via email to identify external evaluators.
Interfolio provides an External Evaluation Solicitation Tool that allows you as College Dean or Department Chair (P&T Coordinator) to expeditiously disseminate solicitations for a faculty member’s promotion case. In the May PRIOR to a faculty member’s promotion case, we encourage you to discuss with the faculty member both the cadence in which the external evaluations will be solicited, and the materials associated with the external evaluation.
If you and your faculty member decide to not utilize Interfolio’s External Evaluation Solicitation Tool, please discuss with the faculty member an appropriate means and preferred date in which you would like your faculty member’s materials procured for external evaluation. Inside the faculty member’s packet will be a section entitled “External Evaluations.” Once you receive a faculty member’s external evaluations (presumably by email), upload the external evaluations to the “External Evaluations” section.
Please note: When uploading you will also be setting the access of the external evaluations. Access inside Interfolio is as follows:
- Administrators & Entire Committee: You and your entire department will see the external evaluations
- Administrators & Committee Managers: You and your College Dean Committee will see the external evaluations, your department will not
- Administrators Only: Only visible to the Office of the Provost
If you and your faculty member decide to utilize Interfolio’s External Evaluation Solicitation Tool, inside your faculty member’s packet will be a section entitled External Review Content. They should upload the discussed materials to this section and submit ONLY this section.
Submitting the External Review Content section triggers a workflow in the case that gives only the Department Chair (in some occasions P&T Coordinator or College Dean) access to the materials submitted in the External Review Content section.
Once external evaluators are identified and your faculty member has submitted their External Review Content section, use the template letter below within Interfolio’s External Evaluation Solicitation tool to formally request the candidate’s external evaluation.

Administrative Forms 2 & 3 (Recommendation of the Department Chair/Promotion & Tenure Committee and the Recommendation/Decision of the College Dean) now reside inside Interfolio. See the below video on how to access/complete Forms 2 and 3.
Please note when uploading a Chair’s Letter of Evaluation – In addition to uploading your letter, you are also required to fill out the Recommendation of the Chair form, which will log your formal recommendation in Interfolio. You may type “see letter” in the form’s evaluative fields for information covered in your letter. When uploading your letter DO NOT click “Edit.” This is an administrative function used in Interfolio to edit the case’s template. Click “Add File” to upload your letter.
