Interfolio/RPT FAQS

When I sign in I don’t see my packet, why?

Most likely you are logged into Dossier, not Review, Promotion, and Tenure.  Directions for accessing your packet can be found here.  Note that packets are only available from roughly May through September for tenure-track, clinical, and research faculty, and from roughly October through February for non tenure-track faculty.

I believe I should have received my packet by now, who should I contact?

All tenure track, clinical, and research faculty up for review/promotion will be notified via their official URI email when their packet is available.  This will be by the end of May of the previous academic year.  All lecturers, senior lecturers, and teaching professors up for review/promotion will be notified via their official URI email when their packet is available.  This will be by the end of October of the current academic year.  If you have not received your packet, contact your Department Chair, who can request support through: rpt_support@uri.edu.

I am a Chair and I believe I should see my faculty’s promotion case(s) by now, who should I contact?

Interfolio is a workflow database. If you do not see your faculty’s promotion case they most likely have yet to submit the section “External Review Content.” You should ask your faculty if they have submitted their External Review Content yet. Once submitted, you (the Department Chair) will be notified and will have access to the case.

I am a Chair who has submitted the Recommendation of the Department Chair/P&T Committee Chair Form, but now want to submit a letter. Where does my letter go?

Drill into a case (Click on Cases > Candidate’s Name) and scroll down to the Internal Section “Chair’s Recommendation.” Click on the “Add File” button.

What time do I have until on the day of my deadline?

You have until 11:59 pm that day.  For example, if your deadline is October 1st, you will lose access at 12:00am on October 2nd.

What are the various deadlines?

All deadlines are laid out in the AAUP Collective Bargaining Agreement.  Information about the various deadlines can be found here:

What do I do if I missed a deadline?

All late submissions for packet submission require dual approval from your Department Chair and College Dean.  Once you have received an extension to submit your packet from your Department Chair and College Dean, please have your Chair/Dean request support through: rpt_support@uri.edu to apply your extension.  All late submissions for department peer review require approval from your Department Chair.  Once you have received and extension from your Department Chair, please have your Chair request support through: rpt_support@uri.edu to apply your extension. Please note, extensions will be granted only in cases of emergency (illness, death in family).

How do I access my files from previous reviews?

Click the Add File button, from there select the “Previous Reviews” tab. Your previous cases will be in the dropdown menu.

Can I create a folder?

The packet inside Interfolio consists of sections and subsections. You cannot create further subsections. Interfolio does not have a function that allows you to create folders, rather, you can rename and reorganize the files to form a specific narrative.
We encourage faculty to take a moment upon uploading all their materials to review the file names associated with the file itself and consider the order in which the files are presented. As mentioned, you can rename and reorganize any file you upload, and that naming/order will be present for your reviewers.

Do I need to hit Submit for each section?

Yes, you must hit Submit for every section in which you have uploaded materials.

I uploaded all my files, will Interfolio automatically submit these files for me at my deadline?

No, you must hit Submit for each section to formally submit your materials.

Why haven’t my peers received a notification even though I submitted my case?

If your case is a promotion case, when you submit your packet your peers will not be notified.  This is because promotion cases go to your department chair, prior to peer evaluation, for external evaluation solicitation. Once your chair has finished soliciting for your external evaluations/at the beginning of Department Peer Review your peers will be notified.

Why do I see myself twice on my homepage? / Why am I being asked to evaluate myself? / Why did I receive an email stating that my packet is ready for review by me?

This is because you are listed as a reviewer for your department’s peer review committee.  Cases in Interfolio are created in batches. Faculty members are always subject to review by the committee in which the reside.  You can simply ignore the second instance.

I submitted my packet prior to the submission deadline, and I need to make a modification, but it says “Locked.” Who can I contact?

Request support through this email: rpt_support@uri.edu

Packets can be unlocked without dual Chair/Dean approval prior to submission deadline.

I am attempting to submit the department peer evaluation form, but cannot use the Submit button.

Every field in the department peer evaluation form is required for submission. If you have no comments for any section of the form simply type N/A. Once all fields have been filled out the Submit button will become enabled.
