Course Proposal Types
You are either modifying an existing course, or creating a new course. It’s important to know what type of change you are making. Courses that are proposed incorrectly will be denied, and proposers will need to recreate the proposal and resubmit it to the workflow.
Course modifications that are commonly mistaken for new courses include:
- Making a temporary course permanent.
- Changing the course code of a cross-listed course.
- Adding a new cross-listing to a pre-existing course.
New course proposals are appropriate for:
- Creating a new permanent course.
- Creating a new temporary course.
- Creating a brand-new course with new cross-listing(s).
If you have any questions regarding whether your proposal is to modify or create, please reach out to Genviéve Spitale in the Faculty Senate Office.
How to modify an existing course
Getting Started
- From your Kuali Dashboard, click “courses” from the menu on the lefthand side.

- Use the search bar to find the course you want to modify by entering its title, or course code and number. (For example: “Introduction to Music” or “MUS101”)
- Select the course by clicking anywhere inline with the course title.
- On the next page, click Propose Changes in the righthand menu.
- A window will pop up with two choices: to “Create a new version” or “Create a new revision”. Select Create a new version and click next.

If you are unable to select “Create a new version”, please contact
Genviéve Spitale by email or phone to correct the issue.
- You have now started a draft of the proposal form. All proposals will be automatically saved as a draft as they are created and modified; it does not need to be finished in one sitting.
- To save your draft: Everything saves automatically, so you are safe to exit Kuali and come back to your draft at any time, or leave the proposal to check on other items within Kuali.
- To open a saved draft: All drafts and submitted proposals will be listed in your Kuali Dashboard. You can also navigate to Proposals in the lefthand menu, and filter the results by “My Proposals.”
Completing the Proposal Form
Most parts of the form are self-explanatory. This guide highlights each section of the proposal form and offers clarification where needed.
Proposal Information Panel

- Check off the changes you plan to make to the existing course, and use the text box to explain to the review committees the purposes for the changes. You may also need to use this text box to let the committees know of any other changes not stated in the check boxes above.
- Many of these check boxes trigger disclosure of other necessary gadgets in the form,
General Information Panel
- Fill out your name, email, and make sure the correct college and department are listed for this course. If the entry says “Invalid ID,” you will need to delete it and enter the correct department.
Course Information Panel
- Effective Term & Year: Please refer to this chart when determining if your proposal will be submitted in time for your projected effective term and year. Please note, if the deadline for approval has passed, your effective date will be automatically changed.
- Academic Career: If the modification you are proposing is to add a version of this course under a different academic career (for instance, adding a URI Online component to an in-person course), you will not be able to choose two academic careers. Keep the original academic career.
- However, if you are proposing to move the course from one academic career to another, without the need to keep a section open in the original career, you can choose the new career.
- Remember: The more you specify in the Rationale, the better. If you accidentally enter the incorrect academic career, but your intentions were clear in the rationale, that can be fixed easily.
- Catalog-ready Course Description: URI’s course descriptions are much more than just a course description. See the anatomy of a course description for a breakdown.

- Cross-listed Courses: Cross-listed course proposals can be confusing, so for more in-depth information, visit the Cross-listed Course Breakdown page.
- Cross-listed courses, regardless of how many different course codes are cross-listed, only have one parent code. The parent is the only course that receives a profile in Kuali, and the other cross-listings are listed in this section of the course form, as well as within the description.
- This does not mean that only one course code is sent to eCampus and is available for students to register for. Whatever cross-listings are listed
