Purpose
The GSA Student Conference and Paper Delivery Reimbursement Program aims to encourage academic excellence among URI graduate students by providing financial assistance for participation in short-term academic events relevant to their research. These events may include conferences, workshops, or training seminars. Additional incentives are available for those presenting their academic work.
Eligibility and Reimbursement
- Reimbursement Limitations: Each student is eligible for reimbursement once per fiscal year (July 1 – June 30) for either conference attendance or an oral/paper presentation, but not both.
- Submission Deadlines:
- For conferences occurring between May 1 and October 31, reimbursement requests are due by November 15.
- For conferences occurring between November 1 and April 30, reimbursement requests are due by May 15.
- Funding: Properly completed reimbursement requests will receive funding up to the maximum allowances, subject to the availability of funds in the GSA Assistance budget.
Covered Expenses
- Reimbursement covers travel, registration, and lodging, up to the following maximum amounts:
- Within the continental United States:
- $250 for an oral/paper presentation
- $150 for attendance
- Outside the continental United States:
- $500 for an oral/paper presentation
- $300 for attendance
- Within the continental United States:
- Note: Food expenses are not reimbursable.
Application Requirements
- Verification: Students must obtain a signature from their department chair or major advisor to verify attendance and indicate whether any departmental funding was received.
- Expense Documentation: Applicants must submit a completed reimbursement form along with all expense receipts. If receipts are unavailable, a memo explaining the reasons must accompany the application.
- Presentation Proof: For higher reimbursement for an oral/paper presentation, include a copy of the event program showing the presentation time and the presenter’s name.
- Submission: Applications must be submitted after the event and sent electronically.
Important Notes
- Executive Approval: The Executive Council has the final authority over reimbursement requests.
- Submission Instructions: Ensure all forms, receipts, and other documents are submitted electronically via the Google Form below.
- Form Download: Download all forms before filling them out. Forms completed in a web browser will not work properly.

GSA SCHOLARSHIP REQUEST FORMStep 2: Please collect all the necessary receipts. Please scan your URI ID card. Then merge all the documents with the GSA Scholarship request form into one single PDF. The merged single PDF should contain: GSA scholarship request form + All the necessary receipts + URI ID card
