August 2026 RESEARCH TEAM MONTHLY UPDATE

Updates

Staffing Updates

  • We will soon begin the search process for a new Pre-Award Specialist.
  • Suraj Pillai will serve as the CELS Business Manager of Research Operations.

New CELS Research Administration Website

  • Our new New CELS Research Administration Website is now available and will serve as the main research hub for CELS faculty and staff.
  • The website includes up-to-date information, resources, forms, guidance, and other research administration tools to support you throughout the proposal and award lifecycle.
  • Contact information is also available on the website.
  • We will continue to update and expand the website as information, policies, resources, and workflows evolve, so we encourage you to check back regularly for the latest information.

Monthly Research Administration Updates

  • Going forward, we will send out a monthly CELS research flyer to keep faculty and staff informed of important deadlines, policy or process changes, upcoming opportunities, reminders, and new resources.
  • These monthly communications will provide another way for us to share timely information and highlight items that may require your attention.
  • We encourage you to take a few minutes each month to review these updates and use them as a resource throughout the proposal and award lifecycle.

PRE-AWARD

Proposal Development & Submission

  • Please continue to use the CELS Pre-Award Intake Form to submit new proposal requests.
  • When submitting a proposal, please review and follow university policies and guidelines, and allow an appropriate amount of time for proposal development and internal review. Early submission helps ensure we have enough time to address questions or revisions and complete the required routing process.
  • Please complete security training using the link here. This will eliminate potential delays in both post and pre award.
  • For questions related to pre-award or proposal development, please reach out to Jane Karako, Pre-Award Specialist.

POST AWARD

Budget & Award Management

  • As we head into the new school year, please reach out if you have questions about your current budget, spending, or remaining funds. We are happy to review your budget with you and help ensure spending remains aligned with the approved budget and project needs. If you require a Budget Revision (BRR) please click here to submit a request. A research team member will reach out.
  • Please remember that expenses should be reasonable, allowable, allocable, and consistent with the approved award budget and sponsor requirements. When in doubt, please reach out before making the purchase or commitment. Please notify the Post-Award team as soon as you anticipate any significant budget changes, staffing changes, no-cost extension needs, or other changes that may require sponsor or university approval. Early communication allows us to determine the appropriate next steps.
  • If you have an award that is delayed in the award-processing stage and you anticipate needing to begin work or incur expenses, please reach out to Melissa Russell to determine whether you may qualify for a Dean’s Pledge. Please note that supporting documentation is required for these requests.

Closeout & Project End Dates

  • Please keep a close eye on communications from the PostAward team, particularly regarding 90-day closeout reminders, upcoming project end dates, and required closeout actions. Responding promptly helps prevent issues at the end of an award.

Invoices & Subawards

  • Please do not submit fund 500 invoice vouchers directly to OSP. The CELS Admin team needs to review them first, and we will submit them to OSP.
  • Please make sure all subaward invoices are sent to Melissa Russell.
  • If you are working with subawards or external collaborators, please continue to monitor their progress and spending and communicate any concerns to the Post-Award team so we can assist with budget monitoring and required actions.
