Book Your Travel
*All travelers leaving the State of Rhode Island must have an approved TA in the system before booking any travel arrangements. Traveling without an approved TA puts the traveler at risk of bearing financial responsibility for any expenses incurred. TA’s are required even if expenses will be covered by an outside organization.*
Note: the policy on booking airfare varies by destination (domestic or foreign) and fund.
Airfare Policy
Domestic Travel
- Funds 110, 500, & 401: Travelers may book travel independently with reasonable efforts to minimize costs.
- Fund 100 & all other funds: Travelers are required to book through the State of Rhode Island’s approved travel agency
Domestic travel exception: Travelers may book independently if the cost is significantly less than booking through the state’s approved travel agency, however, you must provide a written quote from the agency noting their price for the same itinerary
Foreign Travel:
- All Funds: Travel must be booked through the State of Rhode Island’s approved travel agency.
State of Rhode Island Travel Agency
Direct Travel provides travel services, including airfare, car rental, lodging and ground transportation for all individuals traveling on University of Rhode Island funds. Employees will make the arrangements directly with the travel agency. Students and guests will have an employee book for them.
An approved travel authorization (TA) number and four-digit department code will be required to confirm travel arrangements have been made with the approved travel agency.

As of April 2021, Short’s Travel has been replaced by Direct Travel. Existing travel profiles, including preferences, loyalty numbers, unused tickets, etc. have automatically transferred to Direct Travel.

International Travel Insurance
Insurance is provided by the University for all travelers. Registration is required and can be completed by following the link below. Insurance Information
Students, Internal Payroll Employees, and Guest Travel
Only URI state employees will have a Direct Travel Concur profile to book travel. Undergraduate students, graduate students, Internal Payroll employees and guests are required to have a URI employee book their travel. The URI representative booking the travel should be the person they are reporting to. In the case of an undergraduate or graduate student, the URI representative should be a professor or supervisor. In the case of an Internal Payroll employee, the URI representative should be a supervisor. In the case of a guest, the URI representative should be the department or Human Resource liaison.

Rental Vehicles
Travelers who require a rental vehicle to conduct University-related business should refer to the Rental Vehicle page for the approval and reservation process. Please note: URI will not reimburse for the cost of adding insurance to a reservation, as insurance is included through our contracts with Enterprise and National, or through the Office of Risk Management when booking through a non-preferred agency.
Travel for Sponsored Research
If your travel is funded by a grant from the government, you must use a U.S. air carrier service for all air travel and cargo transportation services.
